This page is a working draft, not lawyer-reviewed copy. A lawyer draft, including PAIA manual and Information Officer details, replaces it before the first paid workspace.
Under POPIA, NIVARQ acts as the operator of the hosted platform. Your company is the responsible party for the personal information it puts into its workspace (tenant).
What we hold
- Account data: name, email, role, and workspace membership — used to run login, permissions and billing.
- Tenant data — the records your team creates (staff, jobs, stock, clients, invoices) — stays inside your tenant. Every tenant is isolated; workspace ID is never taken from a client request, only from your authenticated session.
- FICA and other identity documents you upload stay in your tenant's object store. They are never sent to an AI model or included in an AI prompt.
How AI features use data
- Help (all plans) answers from a fixed set of help articles — no model, no access to your tenant data.
- Draft (where included in your plan) reads only the specific record you asked about, to prepare a draft for a human to confirm. Drafts never write to your data without your team's explicit confirmation.
Your rights
- You can request access to, correction of, or deletion of personal information we hold about your account by writing to us via Contact.
- For personal information inside your workspace (your staff, clients, or field users' data), your company is the responsible party — requests about that data should go to your company as controller, and your workspace admin can action access/export/deletion inside the product.
PAIA manual and Information Officer details are published once the operating entity is registered.
